How to Use CUI Visitor and Personnel Badges

CUI Visitor and Personnel Badges are used to visually identify who is authorized to enter, work in, or be escorted through areas where Controlled Unclassified Information is handled, stored, processed, displayed, discussed, or created.

Use purple CUI Approved / CUI Authorized badges for individuals who are permitted to access CUI areas or handle CUI under your organization’s procedures. Use red CUI Restricted badges for visitors, contractors, vendors, employees, or other personnel who should not access CUI materials or enter CUI-controlled areas without proper authorization or escort.

These badges are especially useful at reception desks, controlled area entrances, manufacturing floors, engineering departments, labs, server rooms, IT closets, print/copy areas, inspection areas, shipping areas, and conference rooms where CUI may be present.

For best results, issue badges during visitor sign-in, employee onboarding, facility tours, assessments, maintenance visits, customer visits, and other situations where personnel access needs to be clearly identified. How to Use CUI Restricted Area Signs

How to Use Generic SF 905 CUI Digital Media Labels

Generic SF 905 CUI Digital Media Labels are used to identify contractor-owned, company-owned, or internally managed devices and media that contain, store, process, display, or provide access to Controlled Unclassified Information.

Unlike SF 902 labels, Generic SF 905 labels do not include the text “U.S. Government Property.” This makes them a practical option for organizations that need to mark company-owned laptops, desktops, monitors, external hard drives, printers, scanners, servers, workstations, storage devices, filing cabinets, and other CUI-related assets without implying government ownership.

Apply these labels in a visible, consistent location on equipment or media associated with CUI. On laptops and desktops, place the label where it can be easily seen during use, transport, or inventory checks. On external hard drives or removable media, place the label directly on the item or on the protective case if space is limited. For printers, scanners, servers, and network equipment, place the label near the control panel, front-facing surface, or another visible area.

Generic SF 905 labels are best used as part of a complete CUI marking system. Pair them with SF 901 CUI Cover Sheets for printed documents, CUI Restricted Area Signs for controlled spaces, CUI Authorized Only Floor Tape for work zones, CUI Visitor Badges for personnel control, and CMMC asset labels for asset classification and scoping.

Best used for: company-owned laptops, desktops, monitors, external hard drives, removable media, printers, scanners, servers, network equipment, workstations, filing cabinets, and storage items associated with CUI.

Recommended use: Use Generic SF 905 labels when you need a visible CUI media/device label but do not want the label to say “U.S. Government Property.”

They may also be used on physical items such as photographs, drawings, films, or other media when clear CUI identification is needed.

The labels are made from durable materials designed to withstand routine handling and normal workplace conditions, helping maintain long-term identification of CUI-related devices and media. Care instructions include applying the label to clean, dry surfaces; removing any protective backing carefully; pressing firmly during application; and avoiding exposure to extreme temperatures, excess moisture, harsh chemicals, or abrasive cleaners. The labels are intended for secure, long-term use on CUI-related assets and media.

Included in each pack are the labels themselves; any additional accessories or mounting options are not included. The labels feature the standard purple CUI color, which may vary slightly due to lighting conditions, material finish, or screen resolution.
